JPL Library Loan Protocol: Borrowing & Recalling Books
Who May Borrow
The JPL Library extends borrowing privileges to Laboratory employees (including Academic Part Time, On-Call, Co-Op, Summer Hire and other special status), on-site contractors, and resident NASA employees. Limited services are available to retirees and off-site employees.
JPL retirees and off-site JPL employees may borrow circulating materials from JPL Library collections only (no ILL) for definite loan periods (no indefinite loans).
The general public, by making arrangements in advance, may use materials in the Library. (No borrowing privilege, except through
interlibrary loan initiated through their local library.) Self-service copying is permitted, but payment by personal check is

Loan Periods
Materials published in latest five years may be charged out for one month. Two renewals are permitted if no one else has requested
the item. The due date does not change if book is requested by another customer - second customer is informed of due date,
and if s/he does not wish to wait, s/he can request ILL. Materials more than five years old may be charged out for an
indefinite period, until they are recalled. Indefinite loans are not permitted for retirees and other off-Lab employees.
Books with waiting lists are charged out for two weeks only. New requesters may add their name to end of the waiting list.
Reference materials and journals do not circulate and must be used in the Library.
Delivery
Request turnaround time varies depending on the location of the book. Requests take about a day to receive via office mail
if a book is available on the shelf, and one to two weeks for items being recalled. If an item is needed on a RUSH basis,
please let us know when placing your request.
Books will automatically be mailed to your mail stop. If you wish to be called to pick up an item, please let us know when
placing your request.
Overdue Notices
Overdue notices will be generated at the expiration of the loan period.
- The 1st notice is sent via email.
- The 2nd notice is sent via interoffice mail five days later asking for immediate return, and requesting that the borrower either renew the item for
another month or replace it by purchasing an office copy for long-term use.
- The 3rd notice, after another five days has elapsed, is by phone.
- Any further notices are referred to the Library Supervisor who, if no reply is received from the borrower, will contact borrower's organization, explaining that we have
been unable to contact the borrower and asking for help recovering the item or replacing it.
Recalls
After the loan period has elapsed, charged items may be recalled for other library customers.
- The 1st and 2nd notices are sent via interoffice mail.
- The 3rd notice is given by telephone.
- Any further notices are referred to the Library Supervisor who, if no reply is received from the borrower,
will contact borrower's organization, explaining that we have been unable to contact the borrower and asking
for help recovering the item or replacing it.
If we are unable to obtain recalled items within a reasonable time period (determined by the customer who requested the recall),
the requests are referred to the Interlibrary Loan desk.
